Certified, notarised, sworn, or apostilled: Which one do you need?

These are all different forms of document certification. They are required for various purposes and by various authorities, but they are not the same thing. 

Here’s how they differ; 

  • Certified translation: This is a translation completed by a qualified, professional translator. It includes a signed certification of translation accuracy by the translator confirming that the translation is accurate and complete. 

  • Notarised translation: Here, a notary attaches a notary stamp to the translated document. This confirms the identity of the translator, not the accuracy of the translation itself. 

  • Sworn translation: In some countries such as France, Germany, and Italy, certified translations are referred to as sworn translations. These translations are completed by a government-authorised translator.

  • Apostilled translation: This involves authenticating the original document with an apostille, making it valid for use abroad. It typically takes about 7-21 working days, so same-day translation delivery is not realistic. 

From our internal order data, we see that roughly 97% of birth certificate translations we process require only certified translation, with no notarisation. While less than 2% of birth certificate orders require an apostille.

Will a same-day translation still be accepted?

Yes, it will be accepted by the receiving institution. A same-day translation is not of lesser accuracy or quality than a standard translation. 

USCIS translation requirements state that documents in a foreign language be submitted with a full English translation. The translator must certify the translation as complete and accurate. Turnaround time is not part of the requirement. Completeness and accuracy are what matter when translating a birth certificate for USCIS

The UK also has similar translation requirements. The English translation of a foreign document must include the translator’s confirmation of accuracy, the date, their full name and signature, and contact details. You do not need notarisation.

  • Include images or scans of the back of the certificate if it has stamps or annotations. 

  • Send every page, including any attached extract or amendment. Don’t assume they’re not part of the document. 

  • Tell us the receiving country and authority of use, as this determines what type of translation you get
