What determines translation rates in the USA?
1. Document length
The longer the document, the higher the overall cost. But it doesn’t mean shorter documents cost less. Costs are capped at either a per-page rate (approximately 250 words) or a per-word rate. Which one applies depends on the type of translation you need.
2. Language pair
Common language pairs cost less because more qualified translators are available. For US customers, the highest-volume pairs we see are Spanish, French, Portuguese, and German into English. These are priced lower. Rare pairs like English to Lithuanian and vice versa cost more.
3. Complexity and subject matter
A technical or legal document requires subject-matter expertise, which affects the overall translation cost. The stakes are also higher here. A mistranslated clause in a contract or technical document can have severe consequences.
4. Formatting and certification requirements
Editable files, like Word documents, are cheaper to process. But non-editable formats, like scanned or handwritten documents, cost more. Expect to pay an extra $8 to $15 for these.
5. Translator expertise
Experienced or specialized translators charge higher fees. This premium reflects their qualifications, years of experience, subject-matter expertise, and track record of providing legally valid translations.

Per-word pricing
Regular translations for personal or business use are commonly priced per word, beginning from $0.10.
Per-page pricing
Certified, sworn, and notarized translations are priced per page, starting from $24.99. This pricing includes the certification requirement for immigration and legal paperwork.
Ordering from the US doesn’t always mean you need a standard USCIS-style certified translation. Based on our order data, roughly 1 in 4 US customers order a sworn translation rather than a standard certification. A sworn translation is the required format when submitting documents in Spain, France, Germany, or Italy.
Buying property abroad, registering a marriage overseas, or sending a contract to a European counterpart usually requires a sworn translation, and it costs more.
Hourly pricing
Creative, research-heavy, or multi-step work, such as transcribing an audio recording before translating it, is often billed hourly. This makes total cost harder to predict upfront. Ask for a time estimate before you commit.
Per-character / machine translation pricing
Machine translation engines price by the character rather than the word, starting around $10–$20 per million characters. It is quite useful for large volume translations, but it is not valid for official use, such as immigration filings with USCIS.

Translation costs across different US regions
Freelance translators and agency rates vary across different regions in the U.S. For example, translators in major metro areas, such as New York, San Francisco, and Washington, DC, tend to charge more. Translators in the Midwest or the South often charge less, since the cost of living there is lower.
Because of this inconsistency, agencies use flat-fee pricing instead. You pay based on the translation itself, not the translator's location.
Note: Translating out of English costs more than translating into it. From our internal data, a significant number of US orders are from Americans translating documents out of English. This costs more than double the cost of inbound ones.
Minimum fees and hidden translation costs
Oftentimes, translation agencies may charge a small percentage for project fees. This is used to cover administrative work and project setup. The minimum cost for this is around $30 -$100 depending on the agency.
In addition, some other agencies may include hidden costs that do not appear on the initial quote. This can include formatting work and revision fees, billed separately from the translation cost.
Look out for this when working with an agency to ensure you’re not being billed for a service you don’t need.
How urgency and rush fees affect cost
Standard delivery for a typical document is 24 to 48 hours. If you want your document in less time, expect to pay a rush fee. Based on our order data, urgent orders cost about 20% more than standard turnaround prices. Rush fee only covers faster translation. If your document also needs an apostille, that's a separate add-on with its own processing time.
Apostille and additional certification requirements
You'll need an apostille if your documents will be used in a country that's part of the Hague Apostille Convention. An apostille makes your documents valid for use across member countries.
In the US, your state's Secretary of State office issues apostilles for state-level documents. The US Department of State issues it for federal documents.
An apostille is different from notarization. Notarization is a process where a notary public verifies the identity of the translator. It does not verify the translation itself.
An apostille, on the other hand, is a form of document legalization. It costs around $10 to $30 per document, different from the translation fee.
Most US customers don’t need an apostille or notarization. From our order data, less than 1 in 10 US orders require notarization, and apostille requests are less than 1%. Unless the receiving institution has specifically asked for one, you likely don't need to add it.

Freelancers
Freelance translators are cheaper and more flexible for a single or one-off document translation. But they are not scalable for large or multi-language projects. More so, quality control depends on that one person, so there may be a risk of errors.
Agencies
